EMERGENCY COMMUNICATIONS SYSTEMS
The campus policy on emergency communications is found at Section V/A-1 of the Campus Administrative Manual. This procedure is used to transmit urgent messages from the Chancellor's Office to all or certain large portions of the faculty, staff, and students. Emergency communications may be via telephone contact, email messages, and/or Web messages.
Once the Dean's Office receives a message through the campus emergency communication system, personnel in that office will immediately transmit the message to all units in the college. Each unit is then responsible for contacting all of their faculty and staff.
CRITICAL INCIDENT TELEPHONE NUMBER
In an effort to address telephone queries during a campus emergency, the campus established a telephone line that will provide recorded information about the situation. The message will be continually updated as new information becomes available. This number is 265-8473 (265-UIPD) or 5-8473 from a campus phone.
SEVERE WEATHER
TORNADO WATCH
When the National Weather Service places our local area under a tornado "watch," this means that all of the elements of weather are right for the creation of a tornado. The most important action necessary during a tornado watch is to be aware.
TORNADO WARNING
When the National Weather Service places our local area under a tornado "warning," this means that a tornado has been spotted in a specific area or is headed toward our community. Sirens will sound, and a warning to take cover immediately will be broadcast on the radio and television.
1. NOTIFICATION In the event of a tornado watch and/or warning, college personnel and students will be notified by the campus-wide telephone alert system. Communication originates from the Chancellor's office notifying the Dean's office of the weather situation and instructing them to "Please relay this information in accordance with the telephone alert system".
The Dean's office activates the telephone tree for FAA
2. ACTIVATION OF "TAKE COVER" PLAN Sirens located throughout campus provide a tornado warning alert. A continual siren at any time (except for the emergency test conducted the first Tuesday of each month at 10 a.m.) indicates an emergency condition. Sirens warnings consist of three, three-minute continuous blasts. They will repeat every 30 minutes as long as conditions continue to exist.
- Move to designated shelter area in the basements of the Architecture Building. Remain in the shelter area for 30 minutes or until the all clear is given by college personnel.
- Take the closest route to the basement, using the stairs. Do not use elevators. Evacuate in an orderly fashion. Designated individuals in the Dean's office will take a battery operated radio tuned to WILL AM 580 or WXJ-76 (162.550 MHZ), and flashlight with them to the shelter area.
- Provide assistance to any personnel with disabilities when moving to the shelter area.
- Designated personnel in each department should, as they proceed to the shelter area, check areas of the building to make certain all personnel have been evacuated.
- Once in shelter area personnel should:
- Leave a passageway through the center of each shelter area.
- Keep away from outside walls, doors, and windows.
- Monitor the radio for emergency information
EMERGENCY CONDITIONS AND OVERNIGHT ACCOMMODATIONS
Emergency conditions on the campus, including inclement weather conditions, may make it necessary for departments to request that some of their employees remain on campus at the end of the duty day, to guarantee their availability during the course of the evening or on the next duty day. When this is necessary, such staff may be accommodated in guest housing provided by the Housing Division or the Illini Union. Department heads will approve the cost of the accommodations from departmental funds if the employees are being held on campus at the request of the department. The rates established for such accommodations have been reduced to cover out-of-pocket costs.
Reservations for these accommodations may be made by calling the Illini Union (3-3030) or Housing Division (3-5656). If a need is anticipated, department heads should call during the course of that day to alert the Housing Division or the Illini Union of their estimated needs, to make certain that accommodations are available.
Employees who are in need of overnight housing accommodations on campus because they choose to stay or have been warned by highway officials not to drive due to impassable roads may arrange for accommodations in the Illini Union or University residence halls on a space-available basis at special rates, which must include overhead charges.
The telephone numbers listed above should be used to reserve accommodations.
